As part of the registration process for our web app, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you've asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you're happy and satisfied. We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information.
Teams can record their Discord voice channel through the Sightline bot. We capture audio only from participants covered by the team’s consent setting: either each participant confirms before the recording starts, or a team manager has enabled recording for that channel and the bot posts a public notice whenever a recording begins. From that audio we produce a written transcript, automated notes and insights, and a short audio clip for each thing that was said.
Audio clips are stored in Cloudflare R2 and kept for a period the team or its organization chooses, between 1 and 365 days from the end of the session, with a default of 120 days. Organizations with an unlimited-retention agreement may keep clips indefinitely. When the period ends, the clips are deleted automatically. The transcript, and any accuracy ratings team members gave individual lines, are kept after the audio is deleted.
Only members of the team that made the recording, and only those who can already view its transcript, can listen to the clips. Team managers can delete a session’s clips at any time. If you were recorded and want the audio removed early, ask a manager of that team.
Audio is shared with our transcription providers, OpenAI and Deepgram, solely to produce the transcript, and is handled under their data terms.
Our website may include links to third-party websites. We do not have control over, and are not responsible for, the content or privacy practices of these sites. We encourage our users to be aware when they leave our site and to read the privacy statements of any other site that collects personally identifiable information.
We may update this policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal, or regulatory reasons.
